How to Reserve Space
The Collis Student Center prioritizes undergraduate student organizations in our reservation policies and practices. Space in Collis, Robinson, Sarner Underground, Paganucci Lounge, Tom Dent Cabin and Studio Sudikoff cannot be reserved for academic classes, study groups or class discussion sessions due to limited programming spaces on campus. College departments, student organizations or individuals may not use their status to reserve space for outside users (i.e., local schools, church groups and/or service organizations) or for internal groups to bypass policies.
Reservation requests for student facing programs, events, or meetings to be held during undergraduate reading or exam periods will not be approved. This is a College-wide policy. Collis spaces are typically held during these times to support undergraduate student study needs.
Requests must be made under a College recognized organization. The Collis Student Center does not reserve space to individuals and non-affiliated groups. Please contact Conferences and Events for campus-wide space availability, rental fee and insurance requirements.
Please include as much information about your planned event as possible when making your request. Please include information regarding estimated attendance, technology needs, room set-up, and a general vision of the event so we can best support your organization.

Other Recognized Undergraduate Student Organizations
To view space availability and submit a reservation request, please use VirtualEMS. You will be prompted to sign in using your NetID and password. You will also need to know your organization's chart string to submit a reservation request. Once your completed reservation request is received, an acknowledgment email containing your reservation request number will be sent to you. Each request will be acknowledged by an emailed request summary.
Please note that this is just an acknowledgment of the request; it is not a confirmation.
Once a space has been assigned, it is your responsibility to verify that the assigned space and resources are accurate. You may edit your request through Virtual EMS. If you have further questions about your reservation, please contact Collis Reservations or phone the Collis Coordinator at 603-646-0910. Please have your reservation reference number available.
Non-undergraduate Student Organizations and Departments
Please follow the above instructions. Please note that in order to give priority to student organizations, non-undergraduate student organizations or departments should not request student center space until two weeks into the requested term. Any requests made prior to this date will not be approved. All requests for larger spaces and venues will be reviewed on a bi-weekly basis.
One-Time Reservations
One-time reservations that are open to the entire campus community can be made up to a year in advance. Closed events (i.e., members-only or restricted attendance) can only be made one term in advance.
Recurring Reservations
Recurring reservations (i.e. regular weekly or monthly events) can be made as early as the last two weeks of the prior term. Recurring reservations are not automatically renewed from term to term.
