Recognition Process for Undergraduate Societies

Thank you for applying for recognition under Greek Life and Student Societies. Please review the newly updated policies for recognized student organizations in case you have any questions: Organizational Requirements as outlined by the Provost.

Requirements

  • Individuals can apply to form an undergraduate society at any time during the fall, winter or spring terms. 
  • Founding members cannot be in their winter or spring term of their graduating year. 
  • The application will be reviewed by Greek Life and Student Societies' Staff in conjunction with the governing society if established/active. 

Applications will be submitted via the DartmouthGroups form and must include the following: 

  • An updated constitution or governing document that includes a mission statement, expectations of membership, criteria for member and leader selection, a non-discrimination clause, a process for resolving disputes, criteria for the removal of members and leaders, requirements for posting or making statements on behalf of the group, and the Dartmouth hazing policy.

    • The purpose and mission statement should be distinct from existing student organizations and undergraduate societies and align with and support the mission of Dartmouth. 

    • In its mission statement, each organization must have a learning component, and either a leadership or intellectual component.

    • The criteria used for member and leader selection must reflect the values and mission of the organization and comply with Dartmouth's Nondiscrimination Policy and Anti-Harassment Policy.

    • The expectations for members must align with the mission of the organization.

  •  The names of at least two proposed executives. 

  • The names of at least eight interested members.

  • The name and contact information for a faculty or staff advisor outside of Greek Life and Student Societies.

Additionally, the following will need to be provided to GLASS subsequent to approval but prior to formal recognition:

  • Code of Conduct and adjudication process if not outlined in constitution; 

  • Risk management policy if not outlined in constitution;

  • Crisis management plan - see this document for guidance; 

  • Recruitment plan - outlining what terms recruitment will take place, iterating the minimum requirements outlined by GLASS, etc., if not outlined in constitution;

  • New Member Education Plan - see this document for guidance;

  • Signed and submitted New Member Agreement forms for each member;

  • A list of advisor(s) names and contact information; 

  • Contact list that includes information for all persons involved with an alumni board/corporation when established.
