For current participants

This is a two-term program. Students engage in the research throughout winter and spring terms. Participants will be enrolled in the Dartmouth ERAS Canvas site where they can find important information about the program dates, deadlines, policies and processes. A summary of the timeline is below.

Fall term

Before you leave campus for winter break:

  • Complete the acknowledgment and release form.
  • Review the list of trainings you may be required to complete for your research.
    • DO NOT complete these trainings until the start of winter term. These trainings count as work hours and your job does NOT start until the first day of winter term.
  • Review the Employment Eligibility Verification process
    • You will need to complete the I-9 process this term or at the start of winter term.
  • Contact your faculty research mentor before the end of fall term to set up a meeting for the first week of winter term.
     

Winter and spring terms

You may not work more than 10 hours in any given week, and you may not work more than a total of 100 hours in a given term.

Winter term 

  • Week 1: training and orientation
    • Be sure you have completed the Employment Eligibility Verification Form (I-9).
      • INTERNATIONAL STUDENTS: you may not start work until you have done this.
    • Review the guidelines for TimesheetX and watch the training videos.
    • Complete any trainings assigned to you by your faculty research mentor.
    • Meet with your faculty research mentor to discuss the research plan.
    • Ask about any background reading or preparation you should complete before starting on the research.
    • Tour the lab or research area and meet any other members of the lab or research group.
    • Establish a work schedule for the term.
    • Be sure you know who your primary point of contact will be.
  • Weeks 2-9: research!
    • Engage in the research for 6-10 hours per week.
  • Week 10: wrap up your work for the term
    • Meet with your faculty mentor to review what you have accomplished and any challenges you encountered.
    • Discuss plans for spring term.
    • Set up a time to meet again in the first week of spring term.

Spring term

  • Week 1: meet with your faculty mentor and resume the research
    • Discuss any changes to your responsibilities and establish a work schedule for the term. 
  • Weeks 2 through 9: research! 
    • Continue engaging in research for 6-10 hours per week.
    • Prepare a poster to present at the Wetterhahn Science Symposium. 
  • Week 10: present your poster at the Wetterhahn Science Symposium!

Work guidelines and payment process

Work hours

  • You may not work more than 10 hours in any given week, and you may not work more than a total of 100 hours in either of the two terms.
  • You may only work during the specified job dates, and you cannot be paid for any hours worked outside of these dates:
    • First day of winter term classes through the last day of winter term classes
    • First day of spring term classes through the last day of spring term classes.
    • You may not work during spring break.
  • A work hour includes time spent on any task assigned by your faculty mentor (or other research supervisor), including: 
    • Training modules assigned by your mentor
    • Orientation and tour of the lab or work space.
    • Scheduled meetings with your research supervisor.

Getting paid

  • Students in this program are paid at the standard College minimum wage for student employees.
  • Carefully review the information about reporting your work hours prior to submitting your first time sheet.
  • In your timesheet, enter the time you start and end work every day that you work.
    • These should be the exact start and end times as this is a legal record of your work. 
  • Submit your timesheet every two weeks by 11:59PM on Saturday at the end of the pay period.
    • Payments are released on the Friday after the pay period end date.
    • It is strongly recommended that you register to have your payments delivered electronically.
  • If you neglect to submit a timesheet or if you make an error in a submitted timesheet, submit a correction as soon as possible. 
    • All corrections must be submitted by the last day of exams in the relevant term (winter or spring).
